(1) PA1) Be the point of contact for the Chinese Principal, use discretion and tact to ensure staff, visitors, students, telephone callers are dealt with by the appropriate person.2) Diary management: supporting papers for meetings; prioritization and researching as necessary.3) Pro-active management of Headmaster inbox and office: telephone calls, messages, redirections; draft correspondences, high standard of secretarial support, including fast and accurate turnaround of documents, emails.4) Manage the Planners and files in relation to Heads of School and the Executives.5) Support the Headmaster in advising on cultural matters.6) Photocopying and paper distribution.7) Organize travel arrangements (train and flight tickets), accommodation and visas for the Chinese Principal and coordinating travel arrangements for the BoG.(2) Management Support1) Overall coordinate and communicate with Heads of School (in conjunction with their PAs) and Assistant Heads concerning priorities, deadlines, policies and procedures.2) Liaise with HIMS and BoG; Prepare papers and take minutes of BoG meetings etc.3) Work closely with FoH and support them on the school event they organize regularly.4) Assist the Chinese Principal in matters of public relations.5) Support the Headmaster in managing staff relations and wellbeing.(3) Office Management SupportTo assist the Executive Officer in:1) Maintaining a smooth running and efficient Headmaster office by dealing with all administrative functions and scheduling regular events and meetings.2) Establishing office procedures, policies and operations. Interpret and communicate policies and processes.3) Suggest more efficient ways to run the office and troubleshoot malfunctions.(4) Other1) Back up Executive Officer when necessary.2) Perform related work as assigned.
